Over 16,000 students and 1,000 professors of the Universidad Europea can now receive, manage and issue official documents associated to key processes of the university in less time, such as academic certificates, general certificates, scholarship documents or expense receipts. This is possible thanks to the global integration of Indra's electronic signature and filing solution in the University's Academic Management System.

This new service has been designed for both students and professors and it facilitates the electronic signing of any document used by the university, regardless of the area and geographical location. This can eliminate tedious and slow paperwork processes, strengthening the university's objectives, thus improving the service offered to students, reducing administrative times and meeting the environmental and sustainability objectives. 

The results obtained after the implementation of the project speak for themselves. More than 16,000 electronic certificates and 19,000 documents have been signed in less than a year, including general certificates and modification certificates in electronic format.

Certificates and dossiers available in 24 hours 

For example, an academic certificate can be issued for a student that has moved to New York, so that he/she can present it to the company or entity for which he/she is working within a 24-hour period, depending on the different stages of each process. Likewise, students transferring to another university can easily transfer their electronic dossier, preventing delays and the unnecessary waste of paper.

On the other hand, professors do not have to move around campus to manage general certificates or grade reports. Any professor can access the system from their home to enter and validate grades with their electronic signature. These are automatically filed in the system. All modifications are also made electronically with no need for the physical intervention of the Academic Secretary, who can check the number of general certificates signed and certificates pending to be signed at all times. In addition, once a certificate has been signed, the student can automatically check his/her final grade.

Indra's electronic signature solution, Amara Pfirma, facilitates the integration of the electronic signature with digital certificates in corporate processes. It allows users to receive all documents pending to be signed from any application in a single inbox folder and they can return them signed to the application when the process is complete with all necessary signatures.  This makes the process swifter, concentrating the complexities associated to the signature process in a single point. In addition, it allows the user to check the progress, who is responsible for the process and the number of steps remaining to complete the cycle.

Finally, the Amara Archiva solution implemented on a commercial document manager stores all certificates signed with an electronic signature and their signatures with the corresponding guarantees, thus allowing the use of safe verification codes, printing signatures and, all in all, functions that guarantee the validity of documents after they have been printed.

The project also required solid consulting work to achieve the in-depth re-engineering of key processes and change management activities at the Madrid and Valencia campuses, for the more than 1,000 professors of the Universidad Europea.
